395 CONCOURSE MINUTES FOR THE JUNE 21, 2008 MEETING

ROLL CALL – President Martha Delgado called the meeting to order at 1005 hours.  Club delegates were present from AVC, EAV, FWY, SBV, Y2K, WFI, HVC and CNA.  Clubs absent were VIP and WEF.  A quorum was present since a majority of the active clubs and delegates were present.

MINUTES OF THE PREVIOUS MEETINGS – The minutes for the January meeting were read and approved except that Race Secretary Rollie Jacobs wanted to correct the language used for the first OB Inyokern Race described in the race schedule.  It was not designated as a “trainer” but only that it was a “regular but non-average” race.  The correction was made in the form of a motion by Rollie, seconded by George Proulx and passed.  Several clubs had thought that the race was not for AU points and there for did not fly it.

PROPOSALS FOR MEMBERSHIP – None

FINANCIAL REPORT – Treasurer Larry Landweer stated the checking account balance is $15,740.40 of which $1,274 belongs to several clubs who prepaid their funds for the second installment of the second set of crates. The account reconciles to the most recent bank statement and there are no known accounts payable. A Spring Series report was given that shows all revenues and outlays from the end of YB’s to the present see attached.  The President has appointed Tim and Elaine Ross as the Audit Committee.  The books of the Treasurer will be audited in August.

REPORTS OF COMMITTEES/COMMUNICATIONS – The trailer committee reported on the progress of the new trailer.  We can expect to have our new trailer and the first set of crates in August.  Bids are still being taken to bring everything back here from Wisconsin and Oklahoma.  The second set of crates is promised for September or October due to a back order from other organizations in front of us. We still have not resolved the problem of financing to complete our purchases.  See below under New Business.

The City of Hope sent a thank you letter, signed by JoAnn Ling, for our contribution of $1,212 made earlier this year.

UNFINISHED BUSINESS – None

NEW BUSINESS –  Eddie Hogue wanted to bring several race related matters to the attention of the Concourse members.  First – why is Y2K allowing trainers to be basketed with race birds?  Martha, who is also the Y2K race Secretary stated that she had allowed only single birds as a convenience for the club and that it would not happen again.  Secondly – why was one Y2K member allowed to go back home to catch an escaped bird and then take it to be loaded on the next stop of the race trailer by himself?  Again Martha took responsibility and stated the club did so in error.  The Y2K club has already discussed this at length on several occasions at club level and it too will not happen again.

Financing for new trailer and 1st set of crates – Mike Byrd made a motion to borrow from individual members and pay them 6% per annum.  The motion was seconded by George Proulx.  Ron Whitmer asked that this motion be tabled until the July meeting for club input.  Lending volunteers included Martha, Rollie, Larry and possibly Steve Whitmer.  If others step forward we will have enough to pay the second and final installment for the trailer and 1st set of crates and pay the freight to get them back here in August.  Borrowing $20,000 would cost the Concourse $1,200 per year in interest.

Y2K delegates asked whether it would be prudent to require a bidding process for the 2009 driver.  We now pay 95 cents per round trip mile and we pay the fuel bills.  Rollie pointed out that San Diego and the East Course drivers are paid $1/mile.  No further action taken.

Dave Jones, AVC club, will be pulling Brian Crossen’s trailer for trainers starting in August.  He will have pickups in Corona, San Bernardino and the high desert.  He will have his schedule out soon but expects to have Tues/Thurs pickups for Weds/Fri releases and charge $8/hole for up to 30 birds. (This writer also expects to announce soon a new trainer for south end clubs – watch our web site.)

Victor Grecu thinks about 900 Derby bands have been sold so far and expects to have a full accounting soon.

Ross Massey would like members to consider combining the two Futurities next year.  Also there was discussion on ways to make our races more efficient as the long races, with fewer birds, tend to eat up our cash.  One way would be to have double races (both short and long) and this will be considered when the 2009 schedules are developed this fall.

Y2K asked for consideration of a rule change that would increase the time the birds are to be at the release point to one hour rather than the 30 minutes now stated before release. The issue was tabled to the July meeting for club discussion

The meeting adjourned at 1100 hours.  Next meeting is scheduled for the third Saturday in July.  Note that we are no longer meeting at Taco Joe’s in Rialto. They could no longer accommodate us due to parking considerations.  The July meeting will be at Taco Joe’s in Colton at 1089 E. Washington on the east side of Hwy 215. They can’t take us until 11 AM.

Respectfully submitted by Larry Landweer, Secretary/Treasurer
