395 CONCOURSE MINUTES FOR THE NOVEMBER 15, 2008 MEETING

ROLL CALL – President Martha Delgado called the meeting to order at 10:08 am.  Club delegates were present from AVC, CAN, FWY, HVC, SBV, WFI, and Y2K.  Clubs absent were EAV, VIP and WEF.  A quorum was present since a majority of the active clubs and delegates were present.

MINUTES OF THE PREVIOUS MEETINGS – A motion was made to approve August minutes as written. The motion was made by Carol Jacobs, 2nd by Tim Ross.  Motion passed.

PROPOSALS FOR MEMBERSHIP – None

FINANCIAL REPORT – Treasurer Larry Landweer emailed a report to each of the club delegates prior to the meeting for review.  It was noted that each of the individuals that loaned the Concourse money for the trailer had been paid back $2,000 of the $6,000 originally loaned (plus $60 interest).  The Concourse balance appears to be $3,925.66 based on the report mailed to each club. Please note this balance reflects payment for the second set of crates.

Tim and Elaine Ross gave a report of the audit conducted on August 16, 2008.  Tim briefly covered the items that were looked at, and reported that everything was error free.  Way to go Larry, keep up the good work!!

REPORTS OF COMMITTEES/COMMUNICATIONS – Martha indicated that Brian Crossen will be heading out (pulling an empty trailer) the 1st week in December to pick up the second set of crates.

UNFINISHED BUSINESS – The 2009 Race Schedule was discussed. Tim Ross suggested that each of the different proposals be posted on the 395 Concourse website for not only the club level to have access to but each individual member. It was suggested that each club review the different proposals (on line) so their delegates come prepared to represent their club at the next Concourse meeting. Additional proposals should be submitted to Tim Ross via email; tdross@flyhome.name, intern he will forward them to Mike Byrd for posting on the 395 Concourse web site no latter than November 22, 2008. The proposals may also be viewed on Tim’s website www.flyhome.name.

Nominations for 2009 officers were submitted as follows:

President - Martha Delgado

VP - Victor Grecu

Race Secretary – Rollie Jacobs and Steve Whitmer (possibly sharing responsibilities)

Treasury/Recorder – Larry Landweer

This was tabled to take back to the clubs for discussion and voting.  All delegates should come to the next meeting prepared to make a final decision.

San Diego area club membership: San Diego, Coronado, and Palomar clubs each submitted club rosters and Bylaws.  Membership was pending until these items were received and reviewed. In addition other details such as financial buy-ins and shipping arrangements will be discussed by the Concourse prior to acceptance.

NEW BUSINESS – Victor Grecu gave a recap for the 2008 395 Concourse Derby.  He thanked all parties involved and announced that 99.9% were pleased on how things went.

A total of $2,719.50 was presented to the 395 Concourse from the monies raised by the Derby Race efforts. A comment was made by Ross Massey that the percentage for prize money that was given to each club really made this a good deal, everyone was very happy with that added winnings. Also it was noted by many that CNA did a great job. Thanks to all that helped out.

FWY club announced that they intend to be actively flying again starting with the 2009 Old Bird season. FWY asked the Concourse to take action to make insure that everything is in order for them to be active in the 395 Concourse.  It was stated that Larry Landweer would review the situation and get back to Alex with any outstanding issues, or just to let him know they are good to go.  They will need at least 5 crates, maybe more as things develop further with their club. A more accurate bird count will be supplied at the next Concourse meeting.

Annual awards Banquet:  A motion was made by Rollie and 2nd by Guillermo Velasquez to hold the banquet sometime in February and the President and VP will find a location.  Martha suggested that they aim for either the 7th or 21st since Valentine’s Day falls on a Saturday.

RENINDER:  Annual membership is due by January 2009.

The meeting was adjourned at 11:17 am.  The next meeting will be held on December 20th, at the Brunswick Bowling alley at 24666 Sunnymeade Blvd (runs parallel and just south of Hwy 60) in Moreno Valley at 10:00 am.

Respectfully submitted by Tim and Elaine Ross
